With this Extended Solution to the standard MAS 90 MAS 200 Purchase Order module, a purchases clearing account can be specified for special and miscellaneous items. This new account functions substantially like the inventory purchases clearing account and will even handle variances between received cost and invoiced cost.

Before installing any Extended Solution, please verify that the version level referenced on your installation file is the same version level as your Sage 100 (MAS 90 MAS 200) installation. (For more information please call (800) 425-9843). It is recommended to have a complete and tested backup prior to installing any application on your Sage 100 (MAS 90 MAS 200) platform.

  • Extended Solutions Setup options

Answer the following prompts:

G/L ACCOUNT NUMBER FOR CLEARING: Specify the G/L account number you wish to use for purchases clearing.
POST IN RETURN OF GOODS UPDATE: Check this box for non-inventory item's Return of Goods debits to be posted to the Purchases Clearing Account, and credited to the expense account referenced on the line.

You should visit this Setup screen after each upgrade or reinstallation of this Extended Solution.

Receipt of Goods
When special or miscellaneous type items are received through Receipt of Goods, the P/O cost is credited to the specified clearing account and debited to the appropriate purchases account. Upon Receipt of Invoice, the P/O cost is debited to the clearing account and credited to Accounts Payable. If a variance is detected between the received and invoiced costs, the variance is posted to the original expense account for that item.

Return of Goods Register
When special or miscellaneous type items are returned through P/O Return of Goods without an invoice, the P/O extended cost on the line is debited to the Purchases clearing account and credited to the expense account referenced on the line.

Helpful Hints

  • Return of Goods does not process any variances.
  • You must have ‘Post Accounts Payable Invoices’ checked in P/O Options in order to post to G/L during Return Order update.
